Privacy notice

How nurture. handles personal data for the dealerships that use it, their customers and their staff.

Last updated 12 October 2026

Who we are

nurture. is provided by Nurture Technology Limited (“we”, “us”). We build software that answers and follows up enquiries for car retailers by phone, email, text and WhatsApp.

You can contact us about anything in this notice at hello@nurturetechnology.co.uk.

Our two roles

For a dealership’s customers and enquiries, we act on the dealership’s instructions as its processor. The dealership decides why and how that data is used and is the controller. If you are a customer of a dealership that uses nurture., please contact the dealership about your data. We help them answer any request.

For people who sign in to the app (dealership staff), we are the controller of your account details and the security records of your use of the app.

Customer and enquiry data we process for dealerships

Depending on the services a dealership uses, we process:

  • contact details: name, phone number, email address;
  • the enquiry: the car or service of interest, messages, preferences, part exchange and finance questions the customer chooses to share;
  • conversation records: emails, texts and WhatsApp messages sent and received for the dealership;
  • calls answered for the dealership: the caller’s number, a recording and a transcript, and the outcome (for example a booking or a callback);
  • bookings, and whether an enquiry led to a sale, so the dealership can see what worked;
  • contact preferences, including any request to stop messages, which we always honour.

We use this data only to provide the service to that dealership, under our agreement with them. We do not sell it, use it for our own marketing, or share it with other dealerships.

Connected email inboxes (Microsoft 365 and Google)

A dealership can connect one of its own inboxes so that emails to its customers come from its own address. Its IT administrator approves this in Microsoft or Google and can withdraw it at any time. With that access we:

  • send emails to the dealership’s customers from that inbox, only when the dealership has switched sending on;
  • read new incoming messages only to find customers’ replies to emails we sent, and add those replies to the right enquiry;
  • ignore every other message, keeping only its technical message identifier so we do not read it twice;
  • never move, delete or mark messages as read, and never read mail that arrived before the inbox was connected.

We do not store the dealership’s Microsoft password or a long lived access token for its inbox. Access is requested from Microsoft each time it is needed and ends when the dealership withdraws its approval.

Data about people who use the app

  • your name, work email address, role, showroom and, if you give it, your mobile number for alerts;
  • sign in and security records: when you signed in, multi factor authentication, and the changes you make in the app;
  • technical data our hosting provider receives to deliver pages securely, such as IP address and browser type.

We use it to run your account, keep the app secure, send you the alerts and summaries your dealership has set up, and keep an audit trail. Our lawful bases are our contract with your employer and our legitimate interest in running a secure service. The app uses only the cookies needed to keep you signed in. There is no advertising or tracking.

Who we share it with

We use carefully chosen providers who process data for us under written agreements:

  • hosting and database: Vercel and Supabase (database in London);
  • AI that drafts replies and understands calls and messages: Anthropic, and OpenAI through our voice platform;
  • calls and speech: Vapi, ElevenLabs and Deepgram;
  • texts and WhatsApp: Twilio and Meta;
  • email and calendars: Google, and Microsoft when a dealership connects a Microsoft inbox;
  • stock and vehicle data: the dealership’s own systems and the DVSA MOT history service.

A dealership can ask us for the full current list. We may also share data with professional advisers, or where the law requires it.

Where data is held

Our main database is in London. Some providers process data in the United States. Where they do, we rely on the UK International Data Transfer Agreement or Addendum, or the UK Extension to the EU US Data Privacy Framework, as the law requires.

How long we keep it

Customer and enquiry data is kept for as long as our agreement with the dealership says, and is deleted or returned when the dealership asks or the agreement ends. Call recordings and transcripts have set deletion schedules. App account data is kept while your account is active and then deleted, except audit records we must keep for a limited time for security.

Your rights

Under UK data protection law you can ask for a copy of your data, ask us to correct or delete it, object to or restrict how it is used, and ask for it in a portable form. You can always ask a dealership to stop messages by replying STOP.

If you are a dealership’s customer, contact the dealership first; we will help them. For anything else, email hello@nurturetechnology.co.uk.

Complaints

Please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk).
